I may collect personal information:

  • Through the enquiry form on my website

  • When you contact me by telephone, email, WhatsApp or social media

  • When I visit your property to prepare a quotation

  • When you book or pay for a cleaning service

  • Automatically through essential website technology and, where you consent, analytics cookies

How and why I use your information

Under UK data protection law, I must have a lawful basis for using personal information.

To respond to enquiries and provide quotations

I use your contact details and information about your property to respond to your enquiry, arrange a home visit and prepare a quotation.

My lawful basis is taking steps at your request before entering into a contract.

To provide and manage cleaning services

I use your information to arrange appointments, provide the agreed service, communicate about access or changes and manage the customer relationship.

My lawful basis is the performance of our contract.

To process payments and maintain business records

I use relevant information to issue invoices, record payments, maintain accounting records and comply with tax and legal requirements.

My lawful bases are the performance of our contract and compliance with my legal obligations.

To communicate with you

I may contact you about your enquiry, quotation, booking, payment, appointment or another matter directly connected with the service.

My lawful basis is the performance of our contract, taking steps before a contract or my legitimate interest in managing enquiries and providing good customer service.

To protect my business and resolve disputes

I may retain relevant correspondence and records where necessary to deal with a complaint, recover money owed, respond to a legal claim or protect my legal rights.

My lawful basis is my legitimate interest in protecting and managing my business and, where applicable, compliance with a legal obligation.

To use photographs or reviews

I will ask for permission before using identifiable photographs of your home or publishing a review that is not already publicly available.

Where I rely on your consent, you can withdraw that consent at any time by contacting me. Withdrawing consent will not affect anything I lawfully did before you withdrew it.

To understand website use

If analytics are enabled, I may use information about how visitors use my website to understand which pages are helpful and improve the website.

Non-essential analytics will only be used where the required cookie consent has been obtained.

Sharing your information

I do not sell or rent your personal information.

I may share limited information where necessary with:

  • Wix, which hosts my website and enquiry form

  • Email, telephone and WhatsApp service providers

  • Payment, banking and accounting providers

  • My accountant or bookkeeper

  • HM Revenue & Customs, regulators, insurers, professional advisers or law-enforcement bodies where required

  • A trusted person assisting with a larger clean, but only where they need the information to provide the agreed service

  •

These organisations may act as processors or separate data controllers and will have their own responsibilities for protecting your information.

Some technology providers may process information outside the UK. Where this happens, I expect the provider to use an appropriate legal safeguard for the transfer of personal information.

How long I keep your information

I keep personal information only for as long as it is reasonably required.

As a general guide:

  • Unsuccessful enquiries and quotations will normally be kept for up to 12 months.

  • Customer, booking, invoice and payment records may be kept for up to six years for tax, accounting and legal purposes.

  • Relevant complaint or dispute records may be kept for up to six years after the matter is resolved.

  • Photographs used with consent will be retained until they are no longer needed or you withdraw your consent, unless there is another lawful reason to retain them.

  • Website information will be retained according to the cookie settings and the policies of the relevant website provider.

When information is no longer required, I will delete it or dispose of it securely.

Photographs and social media

I may take before-and-after photographs to show the results of my work or provide an update to you.

I will ask before using photographs for promotional purposes. I will avoid including identifiable people, personal documents, house numbers or other unnecessary identifying information.

You can refuse permission without affecting the cleaning service you receive. If you later withdraw consent, I will stop using the photograph and remove it from platforms I control where reasonably possible.

Cookies

This website may use cookies and similar technologies.

Essential cookies help the website function and do not usually require consent. Non-essential cookies, including certain analytics or advertising cookies, will only be activated where the appropriate consent has been given.

You can use the website’s cookie controls to accept, reject or change your preferences for non-essential cookies.

How I protect your information

I take reasonable steps to protect personal information from loss, misuse, unauthorised access or disclosure.

These steps include limiting access to customer information, using password-protected accounts and devices, and only sharing information where there is a genuine business or legal need.

No online system can be guaranteed to be completely secure, but I review how information is handled and take appropriate precautions.

Your data protection rights

Depending on the circumstances, you may have the right to:

  • Ask for a copy of the personal information I hold about you

  • Ask me to correct inaccurate or incomplete information

  • Ask me to delete your personal information

  • Ask me to restrict how I use your information

  • Object to certain uses of your information

  • Ask for certain information to be transferred to you or another organisation

  • Withdraw consent where consent is the basis on which information is used

These rights are not absolute and may not apply in every situation. For example, I may need to retain certain records to meet tax or legal obligations.

To make a request, email hello@chantellescleaning.com. I may need to confirm your identity before responding.

Automated decision-making

I do not use personal information to make decisions based solely on automated processing that have legal or similarly significant effects.

Complaints

If you have concerns about how I use your personal information, please contact me first so I can try to resolve the matter.

You also have the right to complain to the Information Commissioner’s Office:

Website: www.ico.org.uk
Telephone: 0303 123 1113
Address: Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF

I may update this privacy policy when my services, website or legal obligations change. The latest version will always be published on this website with the date it was last updated.
